Four steps to a reviewed import
Fill in a template
Download an ingredient or formula template in XLSX or CSV. Both are available in English and German. Replace the example rows with your own data and follow the field instructions.
Choose the sheet and columns
Open Data import in the app, select the Excel worksheet if needed and map your columns to the fields. Set the decimal format used in your file.
Review the preview
Check amounts, units and missing values. Explicitly confirm or correct suggested ingredient matches. Similar names are not silently treated as the same material.
Confirm the new records
The confirmed import creates new ingredients or draft formulas. Existing records are not overwritten. A saving error does not leave a partially completed import.

Start with our templates or map the columns in your own file. Files can be up to 500 kB, with up to 500 data rows in the selected worksheet.
Mass or percentage formulas
Import mass amounts or percentages. Percentage formulas need an explicit batch size and a 100% total. The importer does not automatically rebalance your formula.
Keep control of ingredient matches
Names and INCI identifiers help find existing ingredients. You approve the final match, so you decide whether two names actually refer to the same material.
What the import covers
Import is designed for ingredient master data and formulas with their ingredients. It does not import LOTs, stock balances or completed production records. Imported formulas are drafts and still need your technical review.
Each import is also limited to 200 new ingredients, 50 formulas and 500 formula lines. Your remaining plan allowance may be lower. Import is available during an active trial and on all paid plans within those limits, with an editing role.
Use values without thousands separators, formulas or macros. Mass units are converted to grams; volume is not guessed to be mass. In a percentage column, 95 means 95%.
Import questions
Do I have to use your template?
No. You can use your own XLSX or UTF-8 CSV file and map its columns. Templates make the first import easier by providing field names, examples and filling instructions.
What happens to existing formulas?
They stay unchanged. Import creates new draft formulas and does not overwrite existing ones. Review the preview before confirming new records.
Can I import a percentage formula?
Yes, with an explicit batch size and a total of 100%. Correct other totals yourself; the importer does not automatically normalise them.
Do you keep my Excel file?
The original file is used for processing and is not permanently stored as a file. Imported records and an import receipt with associated IDs and a checksum are retained.
Can I download the templates without an account?
Yes. All eight files – ingredients and formulas, XLSX and CSV, in English and German – are free to download without signing in. Importing them into INCIkit requires an account with write access.
